Virtus Group Pricing Annex

Overview

This annex defines the standard rate cards and the unit catalogue that our Listings and Statements of Work reference. Units describe how work is measured (e.g., per seat Bronze $89 · Silver $129 · Gold $179 , per site Bronze $350 · Silver $600 · Gold $850 , per hour, per device), enabling transparent pricing that aligns to your environment size and service level.

Each SoW or Work Order will reference this annex by version (e.g., Pricing Annex v1). If a bespoke rate or unit is agreed, it will be explicitly listed in the SoW and supersede the standard value here.

Billing increments: 1-hour minimum, then 15-minute increments. After-hours (18:00–8:00) billed at 1.5×. Public holidays 2.0×. Urgent requests (<24h notice) +15% uplift. Travel & expenses pass-through at cost (or per-km as agreed in the SoW) unless agreed otherwise, see Modifiers & Rules for other applicable terms.

Each package includes discovery, agreed low-risk changes, reporting and handover. Items outside scope may be quoted T&M at the rates in section 1.

Licenses for productivity suites (e.g., Microsoft 365, Google Workspace) are billed as pass-through on LIC-PROD lines at the prevailing SKU price. The ~$25/seat figure is a budgeting assumption only and may differ from the actual SKU selected.

Notes: Minimum 1-hour increments; after-hours multipliers and travel rules are defined in Modifiers & Rules.

Discounts & Prepay Options

Prepaid Services & Discounts:Customer may purchase prepaid Professional Services blocks or prepay Managed Service fees (quarterly/annually) at the discounted rates in the Pricing Annex.
Prepaid amounts are non-refundable and drawn down in 15-minute increments except where we fail to materially perform (our breach), in which case unused prepaid amounts are refundable.
If the Customer terminates early or the agreement is otherwise ended for reasons other than our breach, any discount is clawed back: used services are re-rated at the standard Annex rates and only any true balance, if any, is returned.
Block hours expire after 4 months from invoice date. A one-time 30-day extension may be granted on written request prior to expiry.
Discounts do not apply to pass-through items (e.g., licenses) and do not alter after-hours/urgent multipliers.
If a volume/standardisation condition is not maintained for 60 days, fees revert to Annex rates the following billing cycle.
PS block prepay: 10h or 25h (4-month expiry; one-time 30-day extension available). Suggested discounts: 5% (10h) / 8% (25h); executive cap 12%.
Managed services prepay: quarterly 4–6%, annual 8–10% (or “11+1” months).
Autopay/direct debit incentive: 1–2%.
No discounts on pass-through lines (e.g., LIC-PROD, EDR, etc.).

Bespoke Rates & Overrides

This section describes how client-specific rates temporarily override the Annex via a Bespoke Pricing Addendum attached to the SoW/WO. Unless explicitly overridden, all other Annex terms and rates apply.

Example only. The customer-specific addendum in the SoW/WO governs: it lists the qualifying triggers (e.g., seat volume, stack standardisation, prepay), start/end dates, and the approver. Pass-through items (e.g., licenses) are unaffected.

Modifiers & Rules

Seat cost: Dependent on the selected support tier - Bronze: $89 · Silver: $129 · Gold: $179
Site cost: Dependent on the selected support tier - Bronze: $350 · Silver: $600 · Gold: $850
After-hours multipliers: 1.5× (Mon–Fri 1800–0800), 2.0× (Weekends/Public Holidays).
Travel: First 10 km included; then $1.10/km + hourly travel time at 50% of resource rate.
Minimum term for Managed Services: 12 months unless agreed in writing.
Volume tiers (prepaid PS hours): 20h (−5%), 25h (−8%).
SLA/SLO alignment: targets are defined in the Managed Services Listing/SoW and may affect pricing.
All pricing is exclusive of GST and quoted in NZD.
Invoices: monthly in arrears for T&M; fixed packages 50% on kickoff, 50% on completion (unless otherwise agreed).
Payment terms: 14 days from invoice date.

To request a bespoke unit or rate, reference the unit code in your SoW and state the override (e.g., SEAT=$68/month for 250+ seat).

Time & Materials (Out-of-Scope)

Out-of-scope work and changes are billed on a Time & Materials basis using Virtus Group’s Professional Services Ratecard (L1–L4, vCIO). This applies to all customers unless otherwise agreed in a SoW/WO.

MS vs non-MS: Managed Services customers are charged at the standard ratecard. Non‑Managed customers incur a 15–25% non‑subscriber uplift.
After-hours multipliers: Weeknights ×1.5; weekends / public holidays ×2.0.
Urgent response: If commencement is required within 4 business hours, a +20% surcharge applies (stacks with after‑hours).
Billing increments: Remote work bills in 15‑minute increments. On‑site work has a 1‑hour minimum; travel is billed at 50% of the applicable rate or a published travel fee.
Pass‑through items: Licenses, CSP/EDR SKUs and other pass‑through costs are billed at cost and excluded from discounts and multipliers.
Prepaid PS blocks: 10h/25h blocks may be purchased per the Discounts & Prepay section (4‑month expiry; one‑time 30‑day extension; early termination clawback).

For clarity, Managed Support remains coverage/SLA‑based (no fixed hour banks). Projects and material changes are delivered under T&M or a fixed‑price SoW.
